How to read the statuses
Every status has a colour code. The colour gives you an instant view of how much focus the service needs:
Colour | Urgency | What it means |
🔘 Grey | None | The job is not relevant yet |
🔵 Blue | Low | Can be carried out – plenty of time left |
🟠 Orange | High | Getting urgent – keep an eye on it |
🔴 Red | Critical | Requires immediate action |
🟢 Green | Under control | Assigned, in progress or completed |
Status descriptions
🔘 Later (grey)
The job is registered, but falls outside the current time period.
Example: «Next week (Mon–Fri)» or «Tomorrow 18:00»
Action: None – follow up as the deadline approaches.
🔵 Can be done (blue)
The job is within the current time period, is not assigned, and there is more than 5 hours until the deadline.
Action: Assign it if a vehicle is already nearby or you have spare capacity – no need to rush.
🟠 Monitor
There are less than 5 hours until the deadline and the job is still not assigned or accepted.
Example displays: «In 1h 57m (18:00)» · «As soon as possible (2h 59m)»
Action: Prioritise assignment
🔴 Deadline close
There are less than 60 minutes until the deadline and the job is not completed.
Example displays: «In 57m (18:00)» · «No later than 57m (18:00)»
Action: Assign and start immediately.
🔴 Deadline expired
The deadline has passed without the job being completed.
Example displays: «30m ago» · «4h ago» · «3h past deadline»
Action: Treat as critical. Document the reason for the delay.
Assignment statuses
The Focus status is not updated on time alone – it is also affected by what happens when you assign a driver. If the job is assigned but not accepted, declined, or still pending, this is reflected directly in the status colour.
🟠 → 🔴 Awaiting acceptance
The job is assigned, but the driver has not accepted yet.
Orange for the first 5 minutes
Red if acceptance does not come within 5 minutes
Example displays: «Awaiting acceptance (5m) · As soon as possible (15m)» · «Awaiting acceptance (5m) · In 1h 57m (18:00)»
Action: Monitor closely. Be ready to reassign.
🔴 No acceptance
The driver has not accepted within 5 minutes.
Example displays: «No acceptance (32m) · As soon as possible (1h 5m)» · «No acceptance (15m) · No later than 57m (18:00)»
Action: Assign to another driver immediately. Follow up with the original driver.
🔴 Declined by driver
The driver has actively declined the job.
Example displays: «Declined by driver (5m) · As soon as possible (55m)» · «Declined by driver (5m) · In 10m (18:00)»
Action: Assign to another driver immediately. Document the reason for the refusal.
🟢 Driver accepted
The driver has accepted and is preparing for the job.
Example displays: «Driver accepted (5m) · As soon as possible (15m)»
Action: None – the job is under control.
Jobs in progress
🟢 In progress
The driver has started the job. Track progress through these sub-statuses:
Sub-status | Description | Example display |
En route | The driver is on the way to the site | «En route (3m)» |
On site | The driver has arrived | «On site (15m)» |
Loaded | The load is on board, en route to destination | «Loaded (17m)» |
On site at destination | Arrived at the delivery location | «On site at destination (now) |
Action: None – unless problems arise.
Completed
The job has been completed and delivered.
Example display: «Completed (today 18:54)»
Action: None – it can be archived or used in reporting.
Key time thresholds
Point in time | Status change |
More than 5 hours to deadline | Blue → «Can be done» |
Less than 5 hours to deadline | Orange → «Monitor» |
Less than 60 minutes to deadline | Red → «Deadline close» |
Deadline passed | Red → «Deadline expired» |
5 min. without acceptance | Red → «No acceptance» |
Five rules of thumb for dispatch
Red = act now – never let red statuses wait
Orange = plan right away – do not let these turn red
Assign blue ones in good time – avoid unnecessary rush
Follow up «Awaiting acceptance» – you have 5 minutes before it becomes critical
Document refusals – it makes for better planning over time
