How to use the dashboard:

The "Focus" column
Focus is the heart of the dashboard. The system analyses scheduled work, driver assignment and acceptance status to tell you exactly what needs your attention.
How to read the column:
Bold text: The most critical information.
Grey subtext: Important supporting information and details.
Status overview and colour codes
Use the table below to understand what the different statuses mean and what action is required:
Status & colour | Situation (why?) | Required action |
🔴 Action required | The deadline is close or has passed. The driver has declined, or has taken more than 5 minutes to respond. | Critical: Assign or start the job immediately. |
🟠 Monitor | There are less than 5 hours until the latest arrival time, or the job is awaiting acceptance from a driver. | High: Prioritise assignment and watch the deadline closely. |
🔵 Can be done | The job has a time window (period), and we are now inside that window. | Moderate: Assign to a resource within a reasonable time. |
🟢 Under control | The service has been accepted by a driver and the job is in progress. | None: Everything is on track. No immediate action needed. |
⚪ Later | The job is scheduled for a later date and is not relevant at the moment. | Low: Can be ignored for now. |
Key deadlines and automation
The system monitors your jobs and changes the status automatically based on these rules:
5 hours before the deadline: The status changes to 🟠 Monitor.
60 minutes before the deadline: The status changes to 🔴 Action required.
5 minutes without a response: If a driver has not accepted the job within 5 minutes of assignment, the status changes to 🔴 Action required.
Deadline passed: The status changes to 🔴 Action required (deadline expired).
Best practice for operators
To keep the dashboard tidy and your customers happy, we recommend the following workflow:
Clear the reds first: A red status means a deadline is about to be missed or a flow has stalled. This should always be resolved before you look at other jobs.
Keep your focus on the oranges: This is your active work list. The orange jobs are what is happening in the near future.
Use blue as your "buffer": Is the screen quiet (few oranges)? Take a closer look at the blue jobs and assign them to stay ahead.
Trust the greens: When the status is green, the driver has taken over ownership. They have the work in hand, so you can focus on planning.
Quick filters
At the very top of the dashboard you will find the quick filters. These let you change the entire view with a single click.
Focus: Choose which colours/statuses you want to see (e.g. "Show reds only"). The filter also shows a number telling you exactly how many jobs sit in each colour category.
Priority: Use this when things are busy. You can hide "Normal" jobs to focus only on those flagged as important.
Latest arrival: This is perhaps your most important filter for managing time. All the options automatically include jobs marked "As soon as possible" or past their deadline:
As soon as possible: Only the most urgent ones.
Next 2 / 5 hours: Planning for the immediate future.
Today / Next 24 hours: Gives an overview of the total workload for the day.
This week: A strategic overview of the days ahead.
Operations panel (the status bar)
Above the table there is a separate field with real-time information about your resources. This is not just text, but interactive buttons you can click for deeper insight:
Driver status: See who is on duty and how many are available.
Completed jobs: An overview of the services completed in the last 24 hours
Operations Manager: Shows who is currently registered as holding overall responsibility.
Customising the table
You can tailor the table view to suit the way you work.
How to filter and rearrange the table
Sorting: Click the arrow icon in the column header to sort (e.g. by time or driver).
Filtering: Click the three dots (...) in a column to apply specific filters.
Adding or hiding columns
Click the "Columns" button to choose what is shown on screen. You can choose from the following data fields
Available columns:
Service: Service no., Service name, Priority,
Job: Job type, Tags.
Time: Focus, Created, Earliest arrival, Latest arrival, ETA.
Resources: Driver, Status (Driver), Registration number, Vehicle.
Location: Job site, Job site description, Start location, Transport to.
Customer: Requester, Contract.
