Roles and access in Assist

What the Driver, Operator, Accounts and Admin roles each unlock, and how to combine them.

Roles and access in Assist

Assist uses roles to control what a user sees and can do in the app.

Roles can be combined. That means a user can hold several roles at the same time, and then gets the access from all of them.

Example: a user who has both Driver and Operator can use the driver flow and work with dispatch and office tasks.

The most important special rule is this:

Users who only have the role Driver get a pure driver view. They see their own jobs, job history, navigation, notifications and account settings, but not the office and administration pages.

What can each role do?

Driver

The Driver role is built for users working on their own jobs out in the field.

A driver can, among other things:

  • see their own active jobs

  • see their job history

  • accept or decline assigned jobs

  • choose the active vehicle

  • set themselves to On duty or Off duty

  • update the job status

  • see the address, route, ETA and contact details

  • use navigation

  • read and add notes

  • see files, assistance, service info and payment and order information on their own jobs

A user with only the driver role cannot create jobs or see the station's other jobs.

If the driver also needs to work with dispatch or office tasks, add the role Operator.

Operator

The Operator role suits traffic controllers and others who handle day-to-day operations.

An operator can, among other things:

  • use dispatch

  • create jobs

  • edit jobs and assignments

  • assign or change the driver

  • follow up active jobs

  • use the operations map

  • see drivers and operators

  • put an operator on duty

  • send and follow up network requests

  • see the job archive, jobs, drafts and activity log

The Operator role does not give full accounts access on its own. If the user also needs to work with invoicing, cash orders and journalling, add the role Accounts.

Accounts

The Accounts role suits users who work with orders, invoices, customers, products and export.

An accounts user can, among other things:

  • see orders

  • work with invoices

  • work with cash orders

  • journal and export

  • complete jobs

  • manage customers and contacts

  • link customers to the accounting system

  • maintain products and contracts

  • administer the relevant registers

  • configure finance and export settings

  • work with integrations and imports

The Accounts role does not give access to manage users or station settings on its own. That requires the role Admin.

Admin

The Admin role suits station administrators and managers who need to control the setup and access at the station.

An admin can, among other things:

  • manage users and invitations

  • change user roles

  • edit station settings

  • work with jobs, dispatch and the map

  • complete jobs

  • send and follow up network requests

  • manage the order form and the Assist network

  • manage customers, products, contracts, vehicles and registers

  • configure export settings and integrations

The Admin role does not give the dedicated accounts pages on its own. If the user also needs to work with invoicing, cash orders and journalling, add the role Accounts.

Common questions

Why can't the driver see the station's jobs?

If the user only has the role Driver they only see their own jobs. This keeps the driver view simple and relevant.

If the driver also needs to see the station's jobs or create jobs, add the role Operator.

Why can't the user see invoices or cash orders?

Invoicing, cash orders and journalling require the role Accounts.

Why can't the user invite other users?

User administration requires the role Admin.

Can a user have several roles?

Yes. Roles can be combined, and the user gets the combined access from all the roles added.

Which role should we use if we are unsure?

Start with the narrowest role the user needs. It is better to add more roles later if the user is missing a menu or an action they genuinely need.
