How easy it is to create an order and get it ready for invoicing

It matters that everyone in the business understands how the company makes its money.

In Assist, anyone can create an order. 💰 We recommend training every driver in how to do this. They are the ones with the most up-to-date picture of which services are chargeable.

Before you start:

You have an Assist account, have set a password and are logged in

  • Assist is set up on your phone

  • You or someone else in your business has assigned you as driver on a job

  • You are On duty and linked to a vehicle (in Assist)

  • The business has registered its chargeable services and products in the Product register

  1. Creating an order on your phone

    1. An order is created once the driver has arrived at the job site and judged the situation to be a job involving services that can be carried out on site, or the transport of an object - or a combination of the two.

    2. Remember to take photos!

    3. Go to Payment:
      ​

    4. Typical things to charge for:

      1. The excess (Vipps or card)

      2. Payment for services that are not going to an insurer

      3. Business-to-business services

      4. Products sold during the job

    5. Select + New order

    6. Open the order - if it is an excess, follow this guide

    7. To create a new direct customer order, do this:

      1. Select the customer name. This looks up against the Customer register as you start typing, so you simply pick the customer by tapping the name.
        If the customer is not in the register, you can create them there and then.

        Note: the customer must be created with a valid company registration number and address for the transfer to the finance system to work

      2. Add any comments and pick the product lines that belong on this order - select + Product line

      3. Choose from the list, or type to search

      4. Adjust the quantity and select Add

      5. You can adjust or delete afterwards if something is wrong

      6. Build up the order so that every chargeable item is included

      7. If you are selling something that is NOT in the product register, you can add it as a + Free-text line

      8. The order might then look like this

      9. Select Invoice as the payment method and the order is ready for posting!

      10. To post it (transfer it to the finance system) you need the Accounts role

The procedure is exactly the same in the browser version of Assist; the screens simply appear in browser layout.
